Job Details:
We are hiring for a Administration Assistant for our client based in Dublin with over 50 years in the tech industry. The successful candidate will be energized by working within a global, highly diverse, fast paced, and complex work environment. They will have the ability to hit the ground running and will be able to prioritise their changing workload effectively.
We are looking for somebody who is flexible, adaptable to change, cool under pressure with a positive and enthusiastic can-do attitude, and who is not fazed by ambiguity.
This role would suit somebody who will enjoy working as part of the larger administration team on EMEA-wide projects and events, but is equally happy to work independently with their designated sales teams and directors.
Experience in project planning and event management is an advantage, working with multiple stakeholders.

The role:
This role will form part of a team providing administrative support for the Dublin-based EMEA Digital Sales prioritisation to ensure the smooth day to day operation and prioritisation of the sales centre. Current prioritisation size is 1,000 and continues to grow. The team works across all levels of the Microsoft prioritisation from senior executive to individual contributor level, both in Dublin and other locations. Currently everyone is working remotely, with a view to returning to the office and adapting to a hybrid working model post-COVID.

Responsibilities:

  • Event Management & Logistics: Customer, partner and internal Microsoft executive visits, All Hands, training, morale and other large business meetings and events.
  • IT Equipment Management and Support: Management and distribution of devices and peripherals, maintenance of inventory records and distribution of office equipment.
  • Budget Management & Purchasing: Payment and reconciliation management arising from day-to-day team activities.
  • General Queries: Point of contact for general queries about the campus or how to get things done at Microsoft.
  • Director Support: Travel, expenses and some calendar and meeting prioritised support, including presentations.
  • Onboarding: Setup of new hires, maintenance of org charts, Microsoft Teams sites and email distribution lists.
  • Communications: Support for employee communications including All Hands presentations, newsletters, SharePoint and Teams sites.
  • There is potential for this role to evolve over time as the business grows and evolves.



Job requirements/Desired knowledge or certification:

  • Expert time management, prioritisation, and problem-solving skills.
  • A team player who collaborates well and has excellent interpersonal skills and awareness.
  • The ability to work unsupervised, on own initiative and as part of an interdependent team.
  • Proven track record of delivering work with a high degree of accuracy and attention to detail, creating clarity and eliminating ambiguity where required.
  • Exercises sound judgment, tact, diplomacy, integrity, and professionalism, demonstrating a positive, can-do attitude.
  • Experience supporting teams who are working remotely or in a hybrid working environment.
  • A creative thinker who is committed to the ongoing evolution of the admin and business support function.
  • Knowledge and proficiency with Microsoft products including Microsoft Office and Windows is required; MCAS qualification desirable.
  • A keen interest in learning about new tools and technology.
