Part 8 - Digital Governance

When planning a digital transformation of your business, quickly and clearly making decisions about priorities, objectives, budgets and resources will be the difference between failure and success. And on top of support from your stakeholders and leaders, you’ll also need governance in place.

Governance is essential to keep your digital strategy moving forward. Being able to see and react to any impediments as they arise, with people in place to make decisions that will remove those blockers, will keep the whole process moving.

Any digital governance tools or processes you implement will need to be able to support these four key areas:

  • Communication
  • Transparency
  • Workflow
  • Collaboration


Decision making is often blocked by the expectation that everyone required to make a decision has to be in the same place, at the same time. But that’s not true. Using cloud tools, you can have quick informal meetings to talk about the high priority escalations. Everyone can then agree if the issue raised warrants a face-to-face meeting or not. Skype, Hangouts or video conferencing are all great ways of doing this, as are company-wide instant messaging tools

Transparency and Workflow

Create a governance board that everyone has access too. This will give the transparency needed to highlight any impediments or questions that need answering. Consider implementing a simple kanban board that lists all the planned work by priority. Each stakeholder can then view instantly what tasks are currently “in progress” and also see if one has been blocked. Also consider limiting the number of ‘work in progress’ item, to determine how many things can be done at once. If things stop moving forward because this work in progress limit is reached, the emphasis is put on the stakeholders to make the decisions required to get things moving again.

A governance board will also mean everyone has a clearer picture of where the transformation is, they’ll see items moving from “incomplete” to “work in progress” to “done”. And using this board, you can measure the cadence against the planned time frame of your digital strategy implementation, recognise any patterns of repeated issues that hold up the process, and action any changes that are required.


Build collaboration, by using the company intranet or shared document directory to keep track of changes as-and-when they occur. Google Docs, Office 365 and other cloud services all have the ability to set permissions to give view, edit and admin access. These documents including anything involved in implementing your digital transformation - including your digital roadmap, budget agreements, order forms, training materials, contracts or anything else that more than one person may be working on.

Remember, your digital strategy might be a 5 or 10 year plan, so continued determination, vigilance and ownership will be required to bring your final vision to fruition. Put in place everything you need to support this transition and be clear on how you will move past any issues that occur.
